Become a CareWhen user in 5 easy steps

We will help you get started, and stay with you
until you are off and running.


1. Decide if CareWhen is right for you

The easiest way is to call us at (509) 468-2988. Or, complete the demo request. You will get a live demo and answers to your specific questions.

What you will not get is high-pressure selling. We are looking for long-term subscribers, not quick sales. It's that simple.

2. Sign up

When you are ready to subscribe, we will send you a cost estimate and a User Agreement. Once we receive the signed agrrement from you, the ball will get rolling.

The first step will be to set the cut-over date—that's when you will stop entering visits in your old scheduling system, and switch to CareWhen.

3. Get your CareWhen site ready

We will collect information about your agency and set up your CareWhen site. It will be uniquely yours, and you will be able to customize it further later on.

In parallel, you will start organizing information about your clients and employees in a suitable format, so it can be uploaded to CareWhen.

4. Receive live training

When you are ready, we will walk you through the CareWhen site and its operation.Your training will be conducted remotely, like a webinar, so you can ask questions as we go.

Your CareWhen site includes a library of training videos. They will serve as refrence in the future.

5. Start scheduling with CareWhen

As soon as the training is finished, you can start using CareWhen.

You will begin by loading client and employee information. Then you will populate visit schedules, starting from the planned cut-over date.

When that day arrives, CareWhen will become your scheduling system. We recommend that you keep your existing system in place during the transition period.
